OBJECTIVES AND LEGAL BASIS OF DATA PROCESSING

The personal data collected during the use of the services are used exclusively for the pursuit of institutional and informative purposes explicitly defined on this website.

The legal basis for the processing of personal data is represented by the performance of a task carried out in the public interest or in the exercise of official authority vested in the University, pursuant to Art. 6(1)(e) of the European Regulation 2016/679. For registration and participation in events using online platforms, the legal basis for the processing of personal data is represented by the data subject’s express consent to the processing of their personal data, through the voluntary use of this website and/or third-party services (e.g., EventBrite, Linkedin, Microsoft Teams, Google Forms) referred to in Art. 6(1)(a) of the European Regulation 2016/679.

WHAT WE COLLECT AND WHY: SCOPE OF DATA PROCESSING AND MANDATORY DISCLOSURE

The personal data subject to processing are those provided by the interested user during the registration procedure for the event, using the forms available on the website, and/or those offered by third-party online service platforms (e.g., EventBrite, Linkedin, Microsoft Teams, Google Forms, Gravity Form).

The personal data voluntarily provided by users who access the website will primarily be processed for the following purposes:

  • Organizing the service for which the user is using the website
  • Contacting the user
  • Website visitor statistics
  • Optimization and distribution of traffic
  • Allowing registration and access to the website’s reserved area and all its functions
  • Interaction with social networks and external platforms

Where expressly requested, the provision of such personal data is a necessary requirement for registration and participation in events and services offered by this website; failure to provide personal data precludes participation in the use of such events and/or services. When using online platforms, the personal data that is automatically collected is generally login information, including browsing data, cookies, and web logs (see the cookie policy of this website).

Personal data may be processed by employees or collaborators of the data controller who, operating under its direct authority, are authorized to process and receive adequate training and operational instructions.

DATA PROCESSING METHODS

The personal data collected by the structures of the Federico II University designated for this purpose are processed manually, on paper, and mainly through computerized means, and entered into paper and/or computerized archives.

The processing through computer and telematic tools is suitable to guarantee the security and confidentiality of the data itself. The collection and use of personal data take place in compliance with the principles of:

  • lawfulness, fairness, and transparency;
  • limitation of purposes;
  • minimization of data;
  • accuracy;
  • limitation to conservation;
  • integrity and confidentiality, referred to in Article 5 of EU Regulation 2016/679, in such a way as to ensure their security and protect the data subject’s privacy.

Such data will not be subjected to any fully automated decision-making process or any profiling treatment. The data may be processed anonymously for statistical activities aimed at improving the services offered.

For the computerized management of data, the Federico II University may use third parties that guarantee the adoption of adequate technical and organizational measures to meet the requirements of EU Regulation 2016/679 and protect the data subject’s rights. Such parties are appointed as responsible for the individual treatments pursuant to Article 28 of EU Regulation 2016/679.

Personal data may be processed by employees or collaborators of the Data Controller who, operating under its direct authority, are authorized to process and receive adequate training and operational instructions. In particular, they will be processed by technical-administrative and teaching staff in relation to the different activities provided for by the relevant treatments.

The University may communicate personal data in its possession if communication is required by EU provisions, laws, or regulations. Only for these purposes, personal data may also be communicated to public entities authorized to request such data, such as the judicial and/or public security authority.

The data subject’s personal data may be shared by the University of Naples Federico II with external parties and third parties, such as independent event organizers or organizations and associations connected to the University (e.g., individual Departments). The University may receive information about the data subject from foundations, associations, and institutions that are connected to the initiatives and missions of the University. These independent third parties will only send personal data if the data subject has clearly indicated their consent to participate in various initiatives.

In this case, the processing of the data of the data subjects will refer to the third parties and external services involved.

The University may use the support of external suppliers for the provision of certain services necessary for technical-administrative, logistical, and organizational management, who may become aware of the personal data of the interested users, for the sole purpose of providing the requested service and who will be previously authorized as external data processors; in these cases, the data will be deleted at the end of the event for which they are used.

DATA RETENTION PERIOD

The data will be stored in both paper and electronic archives for the time strictly necessary to achieve the purposes offered by the services provided on the website and, in any case, after the completion of such purposes, for a maximum of 12 months.

TRANSFER TO NON-EU COUNTRIES

The University does not transfer the personal data in question to third countries or international organizations. Any transfer of personal data by the University will be made to a non-EU country where an adequacy decision has been adopted by the European Commission pursuant to Articles 44 and 45 of EU Regulation 2016/679.

Where such an adequacy decision does not exist, the transfer of personal data to a non-EU country will only be made with the explicit consent of the data subject, as referred to in Article 49(1) of EU Regulation 2016/679. Some IT platforms used to access the provided services, particularly those related to third-party services, may involve the transfer of personal data to a non-EU third country, such as in the case of using web and “cloud” services.

Therefore, users are invited to view the individual websites of third-party services regarding their respective privacy and data processing policies.

RIGHTS OF THE DATA SUBJECT

The data subject has the right to request from the University of Naples Federico II, as the Data Controller, pursuant to Articles 15 to 22 of EU Regulation 2016/679:

  • Access to their personal data and all the information referred to in Article 15 of EU Regulation 2016/679;
  • Rectification of their inaccurate personal data and integration of incomplete data;
  • Erasure of their data (so-called “right to be forgotten”), except for data contained in documents that must be kept by the University;
  • Restriction of processing where one of the conditions set out in Article 18 of EU Regulation 2016/679 applies;
  • Objection to the processing of their personal data, except where necessary and mandatory for accessing the provided services;
  • Withdrawal of consent for non-mandatory data processing, without prejudice to the lawfulness of the processing based on consent given prior to withdrawal;
  • Data portability, where the legal basis for processing is consent, and to communicate such data to another Data Controller where feasible.

COMPLAINT
